KEY TAKEAWAY
Local storage is not the same as local processing, and local processing does not remove the need to review or choose recipients.
“Local AI meeting notes” can describe several different things: local speech recognition, local recap generation or simply local storage after remote processing. To understand the privacy and workflow implications, follow the recording through each stage instead of relying on the label.
The useful choice is the one whose capture, processing, review and sharing behaviour you can explain clearly.
1. Follow the audio and text
Start with the input. Does the application capture your microphone, computer audio or both? Then ask where transcription happens, where the resulting files stay and what happens when you share them.
LOCAL PROCESSING CHECK
Questions to answer
What audio is captured?
Where is speech converted to text?
Does recap generation use a different processing path?
Where are the recording and transcript stored?
What requires an initial download or connection?
Who chooses what gets shared and with whom?
Local storage alone is not evidence of local processing. Equally, a local transcription step does not make email or a shared workspace local. Treat each stage as its own decision.
2. Understand what the output claims to be
A transcript attempts to represent the spoken conversation. A recap selects or summarises useful parts. An action list interprets which statements imply work. Those outputs have different opportunities for errors.
A smooth paragraph can lose a condition; a short quotation can lack context. Review the relationship between the output and its source rather than assuming one presentation style guarantees accuracy.
Different outputs need different checks
Output
Check
Transcript
Names, numbers, dates and negations against the audio.
Recap
Context, conditions and unresolved questions.
Actions
Whether the owner and commitment were actually agreed.
3. Use a reviewable local workflow
Audio Notetaker records a new session and performs transcription on your Mac after preparing its speech model. It keeps the available recap, transcript and audio together for review. Recording requires macOS 15 or later. Local AI recaps require macOS 26 or later, Apple Intelligence and a supported language. When a local AI recap is unavailable, transcript highlights remain available. Optional cloud AI is a separate choice requiring a paid subscription, explicit consent and service availability. It sends transcript text, segment timings and speaker labels, plus the meeting title and date when available, to our service and OpenAI. It does not upload audio, screenshots or presentation files.
That gives you a way to check an important statement against its source. It is not a promise that every recap is a complete formal record or that a task owner has been identified correctly. Read names and commitments carefully before sharing.
Use the Notetaker setup guide to check current requirements, permissions and preparation. Test with harmless speech before recording a real conversation, and tell participants what you plan to capture.
4. Test the claim with a concrete statement
Choose a phrase whose meaning depends on a condition, date or negation. Compare the transcript and recap with the recording. This tells you more about how to review the output than a vague impression that the summary “looks right”.
MEANING CHECK
Fictional example
“We can start the prototype after the accessibility review. Production release is not approved.”
A useful record preserves
The review is a starting condition. The prototype and production release are different scopes. The statement does not approve production.
Keep unresolved details open when the source does not settle them. A local model cannot supply an agreement the participants never made.
5. Share deliberately
Decide whether readers need a short recap, a corrected transcript or the recording itself. Check recipients and remove irrelevant personal details. Once content moves into another service, that service’s storage and access arrangements become part of the workflow.
The Audio Notetaker setup template supports collection of source material. A dependable local-notes practice adds a human review and a deliberate sharing step, rather than treating “local AI” as the whole answer.
